Understand saved records, archiving, exports, and the difference between local files and workspace data.

A signed-in workspace holds its saved bank accounts, payees, checks, and supporting documents. Check the active account and business when locating a record. Quick Check is a separate one-off flow and does not add its PDF to that history.
Files you download are local copies. Signing out, revoking a link, or changing a workspace record does not remove a downloaded file from someone’s device.
Archive or delete
Archive a bank or payee to remove it from normal new-work selections while retaining its record. Use the Archived filter to find and restore it.
The app only offers permanent deletion for eligible unused bank or payee records. Read the confirmation before deleting. Deleting a saved draft retires its check number; it is not a way to make the number reusable.
Keep an export
Use Checks or Reports exports for a CSV of the selected records. Use the saved check’s PDF action for a printable copy. A CSV is not a complete backup of PDFs or attachments.
Control shared access
Use sharing history to review and revoke check links. Ask the account owner to review workspace membership when a person no longer needs access. These are separate controls: a recipient link does not grant workspace membership.
For a data question you cannot resolve with the available controls, follow the support checklist. Avoid including full bank account numbers, passwords, signatures, or sharing PINs in a support screenshot.
